Most venues don’t lose bookings because of their price or their space. They lose them in the gap between an inquiry and a reply.

A couple fills out your form on a Tuesday night. You’re in the middle of an event, so you get back to them Thursday. By then they’ve toured two other venues. Every couple who reaches out is talking to other venues too. The one that answers first, and makes the next step easy, usually gets the tour.

That’s why I spend so much time on the booking process at every venue we work with. Here’s how I’d automate yours, step by step, and the wedding venue booking software I actually recommend.

Write down how a booking happens today

Before you buy any software, map what happens now. Where do inquiries come in? Your website form, email, phone, Instagram DMs, The Knot. Who answers them, and how fast? What happens after the tour? How do contracts, deposits and payments get done?

Most owners find two or three places where things just sit. An inquiry waits a day. A proposal goes out and nobody follows up. A couple tours, loves the space, and never hears from you again. Those gaps are what you automate first.

Answer every inquiry in minutes, not hours

This is the biggest one. When an inquiry comes in, a text and an email should go out right away. Use the couple’s name, thank them, and give them one clear next step: a link to book a tour or a call.

Then set up a short follow-up for couples who don’t reply. A few friendly messages over the next couple of weeks is enough. Keep it sounding like you. A real person should still be the face people book with. The automation just makes sure nobody gets forgotten.

Let couples book their own tours

Getting people to tour is the biggest hurdle most venues face. People really fall in love once they see a space in person. So make it easy. Put a scheduling link in every reply that shows your real availability. When a tour gets booked, confirmations and reminders should go out on their own so the couple actually shows up.

Run it all from one place with Tulen Systems

This is where Tulen Systems comes in. It’s our own booking automation and CRM service, and it’s what we use to put all of this together for venues. Every inquiry lands in one place, no matter where it came from. The instant replies, follow-ups, tour booking and reminders run in the background. And you can see where every couple is, from their first message to a signed contract.

Venue teams use it every day. Farah Casis’s team uses Tulen Systems to keep inquiries, contacts and event details in one place across Savanna Rooftop and The Lillian. At CALA in Scottsdale, it’s the first step in turning an inquiry into a booked event. You can hear what they think in what venue owners say about working with Tulen.

We set it up and run it with you, so you don’t have to figure out the software on your own.

Use HoneyBook for contracts and payments

For proposals, contracts, invoices and payments, I recommend HoneyBook. We use it a lot, and Tulen has a formal partnership with HoneyBook. I wrote more about it in HoneyBook for wedding venues.

Sean Colwell at Fire House Loft is a good example. When we started working together, he already had a HoneyBook account, but it wasn’t really set up. I told him we had to route every lead into it, because none of this works without that. Sean put it this way: “We spent like a solid month of just building out that system before we launched the ads, just to be prepared. I’m glad we did.”

The payment side helped too. Sean can split an event into five, six or seven payments with autopay, so a big bill feels a lot more manageable for the couple, and his team doesn’t have to chase invoices. You can read the full story in our Tulen x HoneyBook case study.

Add VenueAI if you need someone answering around the clock

If you get a lot of inquiries, or your team is small, look at VenueAI. It’s an AI sales assistant built by a venue owner for venues. It answers inquiries by text, email, website chat and phone, day or night, follows up, and books tours. Then it hands the couple to your team with the full conversation, so a real person takes it from there. It also connects with tools like HoneyBook.

Get extra help when we refer you

When you work with Tulen and we refer you, you get a custom discount on HoneyBook. With VenueAI, you get priority custom onboarding and a call with VenueAI’s founder, so getting started is quick and easy. Just ask us about it on your call.

Keep a person in the loop

Automation should give your team time back, not replace them. I’ve seen this firsthand. A reply bot at one of our client venues once started stepping into conversations it shouldn’t have. We paused it, explained to the client what happened, and retrained it before turning it back on. Test everything, read the messages that go out, and keep a person ready to step in.

Track every booking back to where it came from

Once your booking process runs on its own, track it. You want to know how many inquiries came in, how many toured, how many booked, and where each booking came from. That’s how you know what’s working and what to fix.

Where this leaves you

Automating your booking process comes down to a few things. Map how bookings happen today. Answer every inquiry fast. Let couples book their own tours. Run it all from one place with Tulen Systems. Use HoneyBook for contracts and payments, and add VenueAI if you need help answering around the clock. Then keep a person in the loop and track what books.

Most wedding venue advertising is built around a circle on a map. You pick 30 or 50 miles around the venue, run some ads and wait. That’s fine for a local venue. For a destination venue, it wastes money. The couples you want don’t live in that circle. They live in Chicago, Dallas, Toronto or Atlanta. And they pick where to get married before they pick a venue.

In my post on destination wedding venue marketing, I said I’d go deeper on running ads across the country. This is that post. It’s how I’d set up ads for a destination venue that wants couples from all over the US, or from Canada, without spreading the budget so thin that nothing works.

Try to find the markets that book you the most events before you spend anything

Start with what you already know, not a guess. Look at every wedding you’ve booked in the last two or three years. Write down where each couple lived when they first reached out. Most venues find that a few cities or states bring in most of their bookings. Often they’re not the ones the owner expected.

Those are the cities to focus on. Rank them and pick three to five to start. You can always add more later. You can’t get back money you spent on every state at once.

Give every market its own campaign and its own budget

The biggest mistake I see is one campaign aimed at the whole country. Google or Meta will spend your money wherever clicks are cheapest. That’s not the same as where couples are most likely to book.

So split it up. Run one campaign for each city, or for a few similar cities grouped together, and give each its own daily budget. Now you can see what each city costs you and what it brings in, and you can move money on purpose. Put most of it into your best two or three cities. Keep a little for testing a new one. If a city books, it gets more money. If it doesn’t, cut it.

Use Google and Meta for different jobs

People often ask me whether Google Ads or Meta ads work better for wedding venues. My answer: they do different jobs, and you need both.

Google reaches couples who are already searching. Someone in Philadelphia typing “destination wedding venues in the US” or “[your region] wedding venue” has already decided to look outside their city. Show your ads in the cities that book you the most, and bid on searches about your area, not just your venue name. Check your location settings too. By default, Google can show your ads to people who are just interested in a place, not people who live there. For this kind of campaign, I want people who actually live in the cities I’m targeting.

Meta is where you plant the idea. Most couples in Dallas haven’t thought about getting married in your town yet. A video of a real wedding weekend at your venue, shown to engaged couples in your best cities, is how that starts. It also keeps you in front of couples who visited your website and left.

Meta will often widen who sees your ads on its own. So check where your inquiries really come from, not just what you set up.

Build a landing page for each market

Don’t send a couple in Toronto to the same homepage as a couple who lives 20 minutes away. Your page should make it feel easy.

Answer fast, in their time zone

A couple who lives far away is easy to lose. They’re usually talking to a few venues at once. The one that answers first, with a real answer, usually wins.

So reply the moment the form comes in. Send a text and an email with a link to book a call or a live virtual tour. Mind the time zones, too. A couple on the East Coast who reaches out at 8pm shouldn’t wait until your team gets in the next morning on the West Coast. Book calls at times that work for them, not just for you.

Make the virtual tour your main offer

For a destination venue, a virtual tour does the job an in-person tour does for a local one. Put it front and center in your ads and on every city page: “Can’t visit yet? Book a live virtual tour.” It’s a much smaller ask than getting on a plane. And it gets you a real conversation with a couple who might be two thousand miles away.

Track which markets actually book

Most venues skip this part, and it’s the part that decides whether advertising across the country works. Clicks from each city don’t matter much. What matters is how many weddings each city books, and how much money they bring in.

For every inquiry, note which city it came from and which ad sent it. Keep that note all the way to the signed contract. After a few months, you’ll see patterns. One city might book weddings for a fraction of what another costs. Another might send lots of cheap inquiries that almost never sign. That’s when you can move money with confidence instead of guessing.

Where this leaves you

Advertising a destination wedding venue across the country comes down to a few things. Know which cities book you the most. Give each one its own campaign and budget. Use Google and Meta for what each does best. Build a page for each city. Reply fast, in the couple’s time zone. And track every booking back to the city it came from. That’s how you stop paying for clicks that were never going to book.

Most venue marketing is built for couples who live within an hour’s drive. They can swing by on a Saturday, walk the property and book. A destination wedding venue doesn’t get that luxury. The couple you want might be three states away, and they may not set foot on your property until the week of the wedding.

That changes how you have to market. Destination wedding venue marketing isn’t regular venue marketing with a bigger ad radius. You’re asking someone to trust you with the biggest party of their life, plus their guests’ travel plans, from a distance. Here’s how I’d approach it.

Sell the trip, not just the venue

A local couple is comparing you to other venues. A destination couple is comparing you to other places. Before they pick a venue, they’re picking a town, a coastline, a mountain or a wine region. So your marketing has to answer a bigger question first: why get married here?

I wrote about this in my post on wedding venue sales tips. You aren’t selling a room, you’re selling a weekend. For a destination venue that’s doubly true. Guests are flying in, and they’re going to be around for two or three days whether you plan for it or not. Show couples what that whole weekend looks like at your place: the welcome dinner, the ceremony, the send-off brunch and the things guests can do in between.

If you have lodging on-site or partner hotels nearby, put that front and center. If you don’t, build those relationships so you can tell couples where their guests will stay and how they’ll get from the airport.

Answer the out-of-town questions before they ask

Destination couples have more questions than local couples, and most of them aren’t about your venue at all. How far is the nearest airport? Where do guests stay? What’s the weather like in October? Who do you recommend for catering, florals, and hair and makeup? What’s the plan if it rains?

If a couple has to email you to find this out, a lot of them won’t bother. They’ll move on to the venue that made it easy. Build one page on your website for couples planning from out of town and put all of it there: travel, lodging, a preferred vendor list, a sample weekend timeline and starting pricing if you’re comfortable sharing it. It also matches what people type into Google when they’re researching a destination wedding in your area.

Replace the in-person tour

For a local venue, the tour is where a lot of bookings happen. Destination couples often can’t tour early on, so you need a version that works through a screen.

That means real video: a walkthrough of each space, ideally with someone from your team talking through how a day flows, from getting ready to the last dance. The content that has driven the most bookings for us is still the venue team talking about the space, not a slideshow of empty rooms.

Then offer a live virtual tour as the next step: a short video call where your coordinator walks the property on a phone and answers questions as they go. Put “Can’t visit in person? Book a virtual tour” anywhere you ask for an inquiry.

Run ads where your couples live, not where your venue is

A common mistake with paid ads for destination venues is targeting a radius around the venue, which is exactly where most of your couples aren’t.

Start by looking at where your past couples actually came from. Your inquiry forms and CRM should tell you. Those cities are your feeder markets, and that’s where your budget should go.

With Google Ads for wedding venues, that means showing up when people in those markets search for weddings in your area, using phrases like “destination wedding venues in [your region]” or “[your town] wedding venue.” With Meta ads, it means putting video of real weekends at your venue in front of people in those cities who are planning a wedding, often before they’ve decided on a location. Meta is where you plant the idea of getting married at your place. Google is where you catch them once they’re searching.

Either way, send that traffic to your out-of-town planning page, not your homepage. I’ll go deeper on running national campaigns for destination venues in another post.

Make the whole booking process work remotely

Once a destination couple is interested, every step has to work from their couch: the proposal, the contract, the deposit and the payment plan. If the process stalls because someone has to print, sign and scan a PDF, you’ve given them a reason to keep shopping.

We use HoneyBook for a lot of this at Tulen. Proposals, contracts and invoices go out together, and couples can review, sign and pay in one place. If you want to see how we set it up, here’s our page on HoneyBook for wedding venues.

Speed matters even more here, because a couple planning from far away is usually talking to several venues at once. Reply fast, make the first message personal, and keep the next step small, like a quick call or a virtual tour.

Turn every wedding into the next inquiry

Being a destination venue comes with a trade-off. When we sat down with Sean Colwell of Fire House Loft in New Orleans and the HoneyBook team, he explained why he deliberately went the other way and built a locals-focused venue:

“I wanted to be more of a local place than a destination wedding type of place where you’re just getting that one customer and you never see him again. I want that lifetime value.”

Most destination couples get married with you once. But each wedding brings a full guest list from all over the country onto your property, and some of those guests are engaged or planning their own event. That’s how a destination venue builds momentum.

So capture it. Ask every couple for a review and permission to share their photos, feature real weddings on your site and social, and stay in touch with the planners who bring you couples. When your next couple can’t visit in person, your past weddings are the proof.

Where this leaves you

Destination wedding venue marketing comes down to removing distance. Show couples the whole weekend, answer the travel questions up front, give them a tour they can take from home, run ads in the cities your couples actually come from, and make booking work entirely online.

Most of what I write here is about the marketing itself: ads, content, follow-up, and what makes one venue stand out from the next. This post is a little different. I wanted to introduce some of the people behind the wedding venues I work with, because they’re the reason any of this works.

Running a wedding venue marketing agency, I get to see the side of these venues most people never do: the teams answering inquiries, giving tours and keeping every wedding detail straight. Every venue below is different, from a rural wedding estate in Texas to a banquet hall and a historic venue in Jerome, Arizona, and some of them host other events too. What they have in common is a team that genuinely cares about getting it right.

Some of them work with us on marketing, some use Tulen Systems, our booking automation and CRM service, and some do both. I asked them what it’s actually been like working with Tulen. Here’s what they said, in their own words.

Reading these back, a few themes come up again and again.

Being available. Samantha and Arthur both mention being able to reach us, and Michelle remembers getting real advice before she’d hired anyone. That matters to me. Marketing a wedding venue is full of small questions, and nobody should have to wait a week for an answer.

Staying organized. Farah and Sicily both talk about having structure and keeping everything in one place. Wedding sales comes with a lot of moving parts, from the first inquiry to the tour to the signed contract, and a clear system means fewer couples slip through the cracks.

Standing out. Brian describes how tricky it was to show off a venue with so many different spaces. Couples compare a lot of venues before they book a tour, and getting that story right is most of the job.

If you want to dig into how we approach this, my guide on how to market your wedding venue is a good place to start, and you can see more of this work in our case studies.

And if you run a wedding venue and want to talk through your own marketing, I’d be glad to. The couples and planners who book high-end spaces are looking for proof that the experience matches the price, and most venue marketing never gives it to them.
Calling yourself luxury isn’t a strategy

A lot of venues put “luxury” on the homepage and leave it there. The photos look fine. The copy says elegant, exclusive, unforgettable. And somehow the inquiries still skew toward people shopping on price.

That’s because luxury isn’t a label you slap on. It’s a filter. The couples and planners who book higher-end spaces are looking for proof that the experience matches the investment. If your marketing could belong to any nice venue in your region, they have no reason to pick yours.

Start with a simple question: who is this venue actually for? Guest count range, style, event types you want more of, and the kind of planning process your team is built to deliver. Say that clearly. Vague promises of “premium” help nobody.

Sell the feeling, not the amenity list

Capacity, AV, parking, and catering options matter. They also sound identical to every competitor’s bullet list. High-intent clients book the picture in their head of how the day will feel.

Lead with the moments only your space can give. The walk-in that makes people stop talking. The ceremony spot that photographs a certain way. The way guests move through the property from welcome drinks to last dance. If overnight stays or a multi-day flow are part of what you offer, put that front and center the way you’d sell a weekend, not a room rental.

When someone finishes your website or your first follow-up email, they should be able to tell a friend what makes your venue different in one sentence. If they can’t, your marketing is still describing square footage.

Attract the right inquiries on purpose

More leads aren’t always better. For a luxury venue, unqualified tours waste your team’s time and water down how your brand feels.

Make it easy for the right people to self-select. Be honest about starting investment ranges where you can. Ask a few thoughtful questions on the inquiry form: guest count, date window, event type, and what they’re hoping the day feels like. You’re not being difficult. You’re being clear.

On paid search and social, target the language people actually use when they’re ready for a premium space — luxury event venue, estate wedding venue, private estate for events — and exclude the bargain-hunting phrasing that only creates noise. Your goal isn’t the cheapest cost per lead. It’s conversations with people who can actually book.

Your visuals have to match the price point

You can’t sell a high-touch experience with blurry phone photos and empty-room slideshows. Editorial-quality photography and short video of real events do more for trust than another paragraph about amenities.

Show the space in use. Styled setups, guest energy, details your past clients rave about. Walkthroughs from your team talking about the venue still outperform polished but empty galleries, because people buy confidence as much as beauty.

Keep the same standard on social, listings, and ads. If the ad looks premium and the landing page looks generic, you lose them in the gap.

Follow-up should feel like white-glove service

Luxury clients expect a concierge-level response, not a template PDF and “let us know if you have questions.”

Respond fast. Make the first reply personal. Send a mix of useful detail and proof — real event photos, a short note about how a day typically flows, clear next steps. Keep the ask small: a quick call to check dates and answer questions, not a hard close on the first touch.

If someone goes another direction, close the loop politely and ask what mattered most. Timing, budget, vibe, something else. That feedback tells you whether your story is landing or whether you need to tighten how you tell it.

Where paid ads fit for a luxury venue

Organic content and SEO build trust over time. Ads help you show up when the right people are already looking.

Use Google for high-intent searches tied to your city or destination feeder markets. Use Meta to show the experience — video, carousels, real events — to people who match your ideal guest profile. Always send them to a page that continues the same story, not a generic homepage.

Track inquiries, tours, and booked events, not just clicks. If a campaign brings volume but not fit, tighten the creative and the audience before you spend more.

Where this leaves you

Luxury event venue marketing works when everything points at the same idea: the experience only your space can give, shown to the people who want that experience, followed up in a way that feels as considered as the property itself.

If your current marketing still reads like a spec sheet with nicer adjectives, start there. Clarify who you’re for, rebuild the story around the feeling of the day, and make every touchpoint match the standard you promise on-site.

A few weeks ago I wrote about how to market your wedding venue. The main point was simple. Being different isn’t enough. People have to actually know about your difference before it does anything for your bookings.

This post is the follow-up. Once you know you need to get your difference in front of people, the next question is: what is your difference, really? For a lot of venues, the answer is hiding in plain sight. You aren’t selling a room. You’re selling a weekend.

Before we get into it, I sat down with Farah Casis, the sales director at Royva, for our podcast episode How to Book More Weddings at Your Venue. Sales tips from LA’s best. She’s a venue coordinator who sells a lot of events, so if you want to hear how someone on the sales side does it, watch it here.

Most venues sell square footage

Look at how most venues describe themselves. Capacity, number of spaces, the ceremony spot, a list of amenities. It’s all true and it all matters, but it reads exactly like every other listing a couple is scrolling through. When someone is looking at hundreds of venues online, a list of features is easy to forget.

Couples don’t book a capacity number. They book the picture they have in their head of how the day is going to feel. If your marketing doesn’t help them see that picture, you’re competing on price and availability, and that is a hard way to grow.

What changes when guests can stay

One of the venues we work with is a restored 1918 estate with overnight accommodations on the property. When we built out their marketing and follow-up, we didn’t lead with the square footage or the number of event spaces. We led with one idea: your closest people can actually stay the weekend.

That one line changes the whole conversation. The event doesn’t end at midnight when the last shuttle leaves. It becomes a full experience. Welcome drinks the night before, the wedding itself, breakfast together the next morning. The venue stops being a place you rent for a few hours and becomes the setting for the whole thing.

The couples who booked felt it too. One of them described turning the property into a weekend-long wedding with their closest family and friends, and said it was even more magical in person than any photo could show. That is the kind of feedback you want, because it tells you exactly what to market.

You don’t need overnight rooms to do this

Not every venue has lodging, and that’s fine. The point isn’t the beds. The point is to market the experience instead of the space. Ask yourself what a couple’s whole day, or whole weekend, looks like at your venue, from the moment guests arrive to the moment they leave.

Is there a rehearsal dinner or welcome party option?

Can couples get ready on-site?

Is there a golden-hour moment, a view or a spot your past couples always talk about?

Do you have partners nearby (hotels, brunch spots, activities) that make it easy to turn the event into a trip?

Whatever your answer is, that’s the story. Package it and talk about it everywhere.

Put the weekend in every touchpoint

Here’s where most venues drop the ball. They might mention the experience on their website, and then the follow-up after an inquiry is a price sheet and a “let us know if you have questions.”

For the estate I mentioned, we built the weekend into the follow-up sequence itself. After someone inquires, they get a mix of emails and texts over about two weeks. Early on, a short text reminds them what makes the place different: overnight stays, the views, space for everything from an elopement to a big celebration. A bit later, they hear from a real couple about their weekend-long wedding, along with photos from it. Every message keeps putting that picture back in front of them.

Content works the same way. As I said in the last post, the content that has driven the most bookings for us is the team at the venue talking about the space. When that team walks through what a full weekend looks like, it hits a lot harder than a slideshow of empty rooms.

Make the next step small

Selling a full experience can make the decision feel bigger, so the ask has to feel smaller. In the follow-up we use, the ask is almost always a quick 15-minute call. Not a contract, not a deposit. Just a conversation to check availability and hold a date while they decide, with no commitment needed.

We also stay honest about timing. That venue books most dates around 12 months out, so we tell people that directly. It isn’t fake urgency. It’s useful information for someone who is serious about a date.

And if a couple goes another direction, we close the loop politely. We thank them, ask what influenced the decision (timing, pricing or something else), and leave the door open for a future event or stay. That feedback tells you whether your story is landing or whether you need to change how you tell it.

Where this leaves you

If your marketing reads like a spec sheet, you’re blending in with every other venue a couple looks at. Figure out the experience only your space can give, whether that’s a weekend, a view or a moment, and make it the center of your content, your ads and your follow-up.

Most venues struggle to market their spaces. Simply because they struggle to find unique ways to get more visibility for their space, which is the only way a venue owner can drive more bookings.

And they think that this is caused by things like the economy or the market. Most of the time it is a simple failure to generate demand for a space.

With so many options out there and people planning events, literally seeing hundreds, even thousands, of venues online before they choose one, the most important thing that a team can do is focus on unique visibility. You need to hit hundreds of thousands of people per month with unique content to have a true impact on your marketing.

Where do you generate this visibility? There are a ton of options: listing sites, content, blogging, a better website, running ads; the list goes on. But most of it has minimal to low impact for a space.

The most important thing a venue can do is differentiate its space through its unique marketing, content, and ads. I see a lot of venues make the mistake of focusing on making the venue itself different; however, they miss the fact that just being different doesn’t actually change the fact that people need to know about your difference in order for it to drive an impact on your business.

So where does this leave you? The good news is that after running campaigns for hundreds of venues across the US and Canada. The single highest performing content to actually drive bookings has been content of the team at the space talking about the venue. Videos like this.

Now, if you’re a venue owner operating your venue, you’re probably busy enough as it is, and figuring out content and ads is just one other problem on a list that keeps getting longer. That’s why we built Tulen.

Tulen is a done-for-you venue marketing service. We shoot content, create and run campaigns, and track them to see the return and what’s performing.
